HOA dues tracking software that replaces your spreadsheet

Know exactly who's paid, who's delinquent, and what's owed — without maintaining a spreadsheet or chasing down paper checks. Hivepoint gives self-managed HOA boards a complete dues ledger with aging reports, payment history, and optional online collection.

The problem with spreadsheet dues tracking

Most self-managed HOAs track dues in Excel or Google Sheets. It works — until the person who built the spreadsheet leaves the board. Suddenly the formula logic is wrong, payment history is lost, and the new treasurer is starting from scratch in March when annual dues are already due.

The other common setup: QuickBooks for the numbers, a separate spreadsheet for the lot list, and a third system (or a notebook) for tracking who's actually paid. It's a lot of manual reconciliation for a volunteer who's trying to close out a board meeting by 8pm.

Hivepoint connects the lot list, the payment ledger, and the reporting into one system that survives board turnover.

What dues tracking in Hivepoint looks like

  • Complete dues ledgerEvery lot in your community has a running balance. Annual dues, special assessments, late fees, and payments all post to the same ledger. No reconciliation needed.
  • Aging report — who owes whatSee all delinquent accounts at a glance: 30 days, 60 days, 90+ days overdue. Export to PDF for your board meeting or attorney review.
  • Full payment history per lotEvery payment ever recorded is attached to the lot. When a homeowner calls to dispute a balance, you can pull up their entire history in seconds.
  • Special assessmentsNeed to levy a one-time assessment for a reserve fund or emergency repair? Post it to all lots at once, or to a subset. Hivepoint tracks it separately from annual dues.
  • Late fee automationSet your late fee schedule and Hivepoint flags overdue accounts. Apply fees with one click — no manual calculations.
  • Financial reportsYour dues data flows directly into P&L, balance sheet, and cash flow reports. Print them for your annual meeting or hand them to your accountant.

Common questions

Can I track HOA dues without QuickBooks or a spreadsheet?

Yes — that's the exact use case Hivepoint is built for. Every lot has a running balance, every payment and charge is logged automatically, and you can generate aging reports and payment histories without touching a spreadsheet or importing data into an accounting package.

Does Hivepoint track special assessments separately from annual dues?

Yes. You can post a special assessment to all lots at once, or to a subset of owners. It appears as its own line item in each lot's ledger, separate from annual dues — so the board can see exactly what each homeowner owes for each charge type.

Can residents pay HOA dues online?

Online payment is part of Community Edition. Residents log in to your HOA's own portal (at your domain), see their current balance, and pay by credit card or ACH via Stripe. Payments post to the dues ledger automatically — no manual entry.

How do I produce an aging report for delinquent homeowners?

The aging report is one click in the Board Edition dashboard. It shows every delinquent account grouped by 30, 60, and 90+ days overdue. Export to PDF for your board meeting packet or to send to your HOA's attorney.

What happens to our dues history when a board member leaves?

Nothing — it stays in Hivepoint. Because the dues ledger lives in the community's account rather than a personal spreadsheet, the full payment history is available to the next treasurer from their first login. No spreadsheet handoff, no reconstructing payment records from bank statements.

Can Hivepoint track dues for a community with different fee tiers?

Yes. Communities with multiple lot types, phases, or owner categories can set different annual dues amounts per lot. Each lot's fee is set independently — so a community with town homes and single-family lots at different rates is handled without workarounds.
